Key Responsibilities
  • Act as the first point of contact for external inquiries, directing communications to the appropriate departments with professional etiquette.
  • Manage and coordinate virtual meeting rooms and digital reception protocols to ensure seamless interactions for clients and stakeholders.
  • Support various administrative departments with data entry, report generation, and the maintenance of internal databases.
  • Coordinate executive schedules and assist in the organization of corporate events and internal webinars.
  • Handle high volumes of correspondence through email and internal communication platforms like Slack and Zoom.
  • Ensure all administrative tasks are completed in accordance with company policies and compliance standards.
  • Assist the Human Resources and Operations teams with documentation management and onboarding logistics as needed.
  • Identify opportunities to streamline administrative processes and implement more efficient workflow solutions.

Qualifications
  • Minimum of 2 years of experience in an administrative or receptionist role, preferably within the technology or professional services sector.
  • Native or near-native proficiency in English (both written and verbal) is strictly required to interact with our global team.
  • Strong command of Spanish or other additional languages is highly valued.
  • Proficiency in the G-Suite (Docs, Sheets, Slides, Calendar) and familiarity with project management tools like Trello or Jira.
  • Exceptional organizational skills with a proven ability to prioritize tasks in a high-pressure environment.
  • Strong interpersonal skills and a customer-centric mindset, capable of building rapport with people at all levels of the organization.
  • Self-motivated and able to work independently with minimal supervision in a 100% remote setting.
  • Educational background in Business Administration, Communications, or a related field is preferred.
