We are looking for a highly organized and detail-oriented Paralegal, Contract Management & Legal Operations to join our team in a remote capacity. In this role, you will act as the operational engine of our legal department, managing a high volume of complex documents and ensuring our contract administration is seamless, efficient, and scalable. By bridging the gap between business requesters and legal counsel, you will play a vital part in our mission to redefine what is possible in the treatment of autoimmune conditions while working within an environment that values clarity, collaboration, and innovation.
As our primary administrator for legal systems, you will be responsible for the end-to-end management of our Contract Lifecycle Management (CLM) platform, ensuring every agreement is accurately formatted, properly routed, and archived. This role is perfect for a legal professional who thrives on process optimization and operational excellence. You will not only manage the day-to-day flow of contracts but also lead the charge in identifying efficiencies, building tracking dashboards, and training internal stakeholders on legal workflows. We are seeking a proactive partner who can maintain high standards of document accuracy while navigating the fast-paced environment of a growing biotech firm.
Key Responsibilities- Serve as the lead administrator for the Legal Departments systems, including Ironclad (CLM) and the departments SharePoint ecosystem.
- Act as the central point of coordination for all contract-related inquiries, providing real-time status updates and troubleshooting workflow bottlenecks.
- Own the triage and assignment of legal matters, serving as a critical bridge between business departments and the Legal team to ensure clear communication and process adherence.
- Manage the complete contract lifecycle, from initial intake and internal routing to final execution and digital storage.
- Conduct meticulous reviews of contracts for formatting, completeness, and consistency, ensuring all documents align with company templates and clause libraries.
- Coordinate e-signature processes via Adobe Sign, ensuring all necessary internal approvals are secured prior to final execution.
- Track and maintain essential contract metadata, including expiration dates, renewal terms, and ownership, to ensure zero gaps in coverage.
- Generate data-driven reports and performance dashboards to provide leadership with visibility into contract cycle times and department goals.
- Assist with administrative legal operations, including travel management, invoice processing, expense submissions, and maintaining meeting agendas.
- Support specialized legal projects, such as litigation document collection, risk management renewals, and corporate record retention efforts.
- A Bachelors degree or a Paralegal Certificate is required to be considered for this role.
- A minimum of 7+ years of experience in a paralegal, contract administration, or legal operations role, with a strong preference for candidates with both in-house and law firm experience.
- Expert-level proficiency with Contract Lifecycle Management (CLM) tools, specifically Ironclad.
- Advanced knowledge of Microsoft SharePoint for document management and workflow tracking.
- Proven experience in the biotechnology or pharmaceutical industry is highly preferred, given the specialized nature of our legal requirements.
- Exceptional attention to detail with a focus on version control and final quality control (QC) of legal documents.
- Strong communication skills with a client-centric mindset and the ability to handle confidential information with the utmost discretion.
- Demonstrated resilience and a growth mindset, with the ability to pivot quickly in a rapidly changing environment.
- Experience building or improving contract tracking systems and providing data-driven insights to department heads.
- Competitive annual salary range of $125,000 to $140,000 USD, based on experience, location, and market data.
