About the RoleThe Operations Coordinator serves as the vital link between sponsors, clinical trial sites, and patients. This role is responsible for ensuring that patient referrals are followed up on promptly and that the recruitment chain remains active and efficient.
Key Responsibilities- Manage relationships with dozens of trial sites across LatAm and US markets through heavy phone and email communication.
- Track patient referral statuses in real-time using the company portal and CRM systems.
- Support patients directly as they navigate the clinical trial enrollment process.
- Review medical records in collaboration with the Medical Director (training provided).
- Identify workflow inefficiencies and contribute to the creation of site engagement playbooks and automation strategies.
- Onboard new sites to the HealthMatch platform and re-engage inactive sites.
- Bilingual fluency in Spanish and English is mandatory.
- At least 2 years of professional experience in a fast-paced, accountable environment.
- Strong interpersonal skills with the ability to build trust quickly over the phone.
- Exceptional organizational skills and discipline in maintaining CRM hygiene.
- A resourceful, proactive mindset focused on improving operational efficiency.
- Experience in clinical research or healthcare/science backgrounds is considered a plus.
- Fully remote role with a primary working timezone of EST.
- Opportunities for co-working sessions in New York, Boston, or Durham, NC.
- Involvement in a lean, high-impact team of fewer than 20 people.
