As the Executive Assistant to the CMO, you will be responsible for managing the day-to-day operations of the marketing executive office with precision and discretion. Your role involves handling sensitive information, managing high-priority projects, and ensuring that the CMO's time is optimized to focus on high-level strategy and brand growth. Key Responsibilities- Proactively manage the CMO’s complex and frequently changing calendar, prioritizing meetings and resolving scheduling conflicts with minimal guidance.
- Act as the primary gatekeeper and liaison for internal and external communications, ensuring all inquiries are handled with professionalism and urgency.
- Coordinate end-to-end travel arrangements, including international itineraries, lodging, and ground transportation, while preparing detailed trip briefings.
- Prepare, edit, and proofread high-level presentations, reports, and marketing decks for executive meetings, board presentations, and industry conferences.
- Oversee special projects and marketing initiatives, tracking deadlines and deliverables to ensure the CMO’s strategic goals are met on schedule.
- Facilitate marketing leadership meetings by preparing agendas, taking detailed minutes, and tracking action items to ensure accountability across the team.
- Manage expense reporting, budget tracking, and administrative documentation with meticulous attention to detail and compliance.
- Build and maintain strong relationships across the organization to foster a collaborative environment and streamline cross-departmental workflows.
- Minimum of 5-7 years of experience as an Executive Assistant, ideally supporting a C-suite executive in a marketing or creative environment.
- Proven experience working in a fully remote or distributed team setting with a high degree of self-motivation and discipline.
- Exceptional written and verbal communication skills, with the ability to mirror the CMO’s voice and professional tone in all correspondence.
- Advanced proficiency in Google Workspace (Docs, Sheets, Slides), Slack, and project management tools such as Asana, Monday.com, or Trello.
- Strong organizational skills with an uncanny ability to multitask and manage competing priorities without losing sight of the finer details.
- A deep understanding of marketing terminology and industry trends within the health and wellness space is highly preferred.
- Discretion and integrity when handling confidential information and sensitive business strategies.
- A bachelor’s degree in Marketing, Business Administration, Communications, or a related field is preferred.
