About the Role
Cyara is seeking a dedicated and proactive Executive Assistant to join our team at a pivotal stage of global growth. In this role, you will act as a strategic partner to the CEO and the Executive Leadership Team (ELT), ensuring that key priorities are aligned, critical decisions are executed, and the business operates with maximum efficiency. As the global leader in AI-powered customer experience assurance, Cyara empowers the worlds leading brands to optimize over 350 million customer journeys annually. We are looking for a high-level professional who can serve as an extension of the CEO, maintaining momentum on important initiatives and ensuring our leadership team is prepared to make informed, data-driven decisions in a fast-paced, remote environment.
Key ResponsibilitiesAs the Executive Assistant to the CEO, you will manage a wide array of administrative and strategic functions designed to optimize leadership performance and organizational health. Your primary responsibilities will include:
- Providing high-level administrative support to the CEO and ELT, including complex calendar management, global travel coordination, expense administration, and meticulous meeting preparation.
- Acting as an extension of the CEO by managing follow-ups, tracking action items from leadership meetings, and ensuring that critical business objectives and commitments remain on schedule.
- Developing and editing high-impact presentations, executive briefs, agendas, and talking points to ensure leaders are prepared for board meetings, investor relations, and internal communications.
- Supporting the onboarding and integration of new executive leaders, helping them navigate the organizational structure and build essential relationships quickly.
- Planning and executing company-wide events, including All Hands meetings, executive off-sites, and strategic planning sessions, ensuring a seamless experience for both in-person and virtual participants.
- Serving as a central coordination point across the leadership team to identify communication gaps or operational bottlenecks that require executive attention.
- Partnering with department leaders on special projects, including culture and engagement initiatives that reinforce Cyaras core values.
The ideal candidate is a highly organized professional with strong business acumen and the ability to build trusted relationships at every level of the organization. We are looking for:
- 5+ years of experience providing direct administrative support to C-level executives, preferably within a high-growth SaaS, technology, or distributed global environment.
- Proven expertise in coordinating cross-functional projects and driving accountability across multiple stakeholders while balancing strategic goals with extreme attention to detail.
- Deep understanding of executive operations, including board relations, organizational priorities, and the nuances of executive-level decision-making.
- Demonstrated ability to handle sensitive and confidential information with the utmost discretion, sound judgment, and professionalism.
- Advanced proficiency in Microsoft 365 (Outlook, Teams, Excel, PowerPoint, Word) and experience facilitating virtual and hybrid meetings across platforms like Zoom.
- Exceptional communication skills, with the ability to influence without authority and move with urgency in a fast-moving, global time zone context.
- A proactive mindset; you anticipate needs before they arise and communicate clearly both before and after key decisions are made.
