Key Responsibilities- Manage and maintain complex executive calendars, including scheduling internal and external meetings across multiple time zones.
- Serve as the primary gatekeeper for executive communications, managing high-volume email inboxes and responding on behalf of leadership when appropriate.
- Coordinate comprehensive travel arrangements, including airfare, lodging, and ground transportation, while preparing detailed itineraries.
- Prepare, edit, and format professional documents, reports, and presentations for board meetings and client engagements.
- Conduct thorough research on industry trends, prospective partners, and market data to brief executives before key meetings.
- Oversee project management tasks by tracking deadlines, following up on action items, and ensuring departmental milestones are met.
- Handle sensitive and confidential information with the utmost discretion and professional integrity.
- Facilitate virtual meetings by preparing agendas, taking detailed minutes, and distributing summary notes to relevant stakeholders.
- Assist with basic bookkeeping tasks, expense reporting, and invoice management to ensure financial records are up to date.
- Minimum of 5 years of experience in an Executive Assistant or high-level administrative role, preferably in a remote environment.
- Exceptional written and verbal communication skills with a focus on professional etiquette and clarity.
- Advanced proficiency in G Suite (Google Calendar, Docs, Sheets), Slack, and modern project management tools like Asana or Trello.
- Proven ability to handle complex scheduling and logistics with a high degree of accuracy and attention to detail.
- Strong problem-solving skills and the ability to work independently while remaining aligned with the executives goals.
- High level of technical literacy and the ability to troubleshoot common software issues or learn new digital platforms quickly.
- Bachelors degree in Business Administration, Communications, or a related field is preferred but not required.
- Availability to work during core business hours while maintaining the flexibility to handle urgent requests outside of standard timing.
