Key Responsibilities
  • Calendar and Time Management: Proactively manage complex executive calendars across multiple time zones, resolving scheduling conflicts and aligning priorities to optimize leadership productivity and focus.
  • Meeting Coordination: Organize internal and external meetings, leadership reviews, team building events, and offsites, ensuring clear agendas, presentations, and actionable follow-ups are prepared.
  • Travel and Logistics: Plan and coordinate domestic and international travel itineraries, accommodations, and transportation, while managing subsequent expense reporting and reconciliation.
  • Operational Support: Support day-to-day workflow execution, track key deliverables, and maintain organized record systems to drive cross-functional accountability and execution.
  • Communications and Liaison: Serve as a primary point of contact between executive leaders and key stakeholders. Draft, proofread, and edit polished presentations, reports, and team-wide correspondence.
  • Confidentiality and Discretion: Handle highly sensitive business and personnel information with the utmost discretion and professionalism.
  • AI Integration: Leverage generative AI tools (such as ChatGPT, Copilot, or Claude) to accelerate communication drafting, documentation, prompt engineering, and operational workflows.

Qualifications
  • Experience: 4+ years of professional experience supporting senior leaders or executives within a fast-paced, complex corporate environment (SaaS or technology sector experience is preferred).
  • Organizational Mastery: Superior time management and organization skills with a razor-sharp attention to detail and a proven track record of managing multiple competing priorities.
  • Communication: Outstanding written and verbal communication skills with the ability to build strong cross-functional relationships and manage stakeholder interactions gracefully.
  • Technical Proficiency: High comfort with collaboration tools like Google Workspace, Microsoft Office Suite, Slack, and other modern administrative platforms.
  • AI Competency: Demonstrated experience using AI tools to boost daily outcomes, draft communications, analyze data, and optimize administrative processes.
  • Education: Bachelors degree preferred, or an equivalent combination of education and direct, relevant administrative experience.
  • Travel: Ability and willingness to travel up to 10% for company offsites or events.
