About the Role

BlinkRx is looking for an Events & Experiences Coordinator to support the execution of our expanding portfolio of biopharma trade shows, provider conferences, and BlinkRx-hosted executive programs. This role serves as the operational backbone of every event we run, working directly with our Senior Events & Experiences Manager to coordinate on-site logistics, travel arrangements, and the meticulous pre- and post-event execution that makes each moment impactful. We are seeking a highly organized, proactive professional who thrives in the fast-moving reality of live events and possesses the foresight to manage complex details before they become challenges.

As part of a mission-driven healthcare technology company, you will play a critical role in how we present our brand to the industry. Whether you are managing hotel blocks for major conferences like Asembia and JPM Healthcare or troubleshooting AV needs during a provider summit, your work ensures that our team can focus on making prescriptions more accessible and affordable for everyone. This is a remote position with a preference for candidates in the Eastern or Central time zones, requiring approximately 20% to 30% travel to deliver world-class event experiences on-site.

Key Responsibilities
  • Event Execution and On-Site Support: Serve as the primary on-site logistics lead at priority events, including biopharma trade shows and executive programs; manage day-of coordination across staffing, booth setup, AV, signage, and attendee flow.
  • Vendor and Venue Management: Act as the main point of contact for external vendors and venue teams during live events, proactively troubleshooting issues in real-time to ensure seamless operations.
  • Travel and Attendee Logistics: Coordinate complex hotel blocks, room assignments, and travel arrangements for staff; build and maintain logistics trackers, run-of-show documents, and comprehensive attendee briefings.
  • Pre-Event Planning: Support the Senior Manager with venue sourcing, vendor outreach, and production timelines; track project milestones and flag potential risks to keep all deliverables on schedule.
  • Materials and Inventory: Assist with booth design coordination, collateral ordering, and shipping logistics; manage post-event inventory and return processes.
  • Operations and Analysis: Maintain organized documentation across all events, including contracts and shipping records, while compiling spend and logistics notes to support post-event performance analysis.

Qualifications
  • Experience: 2-4 years of professional experience in event coordination, marketing operations, or a related project management role; experience within the healthcare or pharmaceutical industry is highly preferred.
  • Logistical Excellence: Demonstrated ability to manage multiple complex workstreams simultaneously with a high degree of accuracy and attention to detail.
  • Communication: Exceptional interpersonal skills with the ability to coordinate effectively across diverse vendors, venues, and internal executive teams.
  • Adaptability: Comfort working in a fast-paced environment with a shifting calendar; ability to remain calm and focused under the pressure of live event changes.
  • Technical Proficiency: High level of comfort with Google Workspace, Excel/Sheets, and project management tools such as Asana; experience with event-specific software like Cvent or Splash is a plus.
  • Travel Commitment: Willingness and ability to travel 20-30% of the time, including occasional evenings and weekends for on-site event support.
