Key ResponsibilitiesIn this role, you will be responsible for the logistical backbone of our destination events. Your day-to-day activities will focus on maintaining the integrity of our coordination workflows through the following actions:
- Oversee and assist with the end-to-end coordination of destination event schedules, ensuring all components align with client expectations and vendor availability.
- Manage complex reservation systems and confirm bookings for group experiences, accommodations, and special event milestones.
- Act as a primary point of contact for clients throughout the coordination phase, providing timely updates, confirming logistics, and answering inquiries with a professional and service-oriented tone.
- Maintain meticulous records of all event documentation, including contracts, confirmation numbers, and internal event calendars, ensuring data is always accurate and accessible.
- Monitor and track critical coordination milestones, proactively identifying potential scheduling conflicts and working with internal teams to resolve them before they impact the client.
- Adhere to established company workflows and quality standards to ensure a consistent and high-quality service delivery across all client accounts.
- Collaborate closely with internal planners and support staff to ensure that all logistics are synchronized and that handoffs between departments are seamless.
