Key Responsibilities

As a Customer Service Assistant, your daily activities will revolve around maintaining high standards of service and operational efficiency. You will be expected to perform the following duties with a high degree of accuracy:

  • Act as the first point of contact for clients, handling inquiries through multiple channels including email, live chat, and occasionally voice calls to provide timely and accurate information regarding our services.
  • Manage and resolve customer complaints with patience and professionalism, identifying the root cause of issues and implementing effective solutions to prevent recurrence and ensure long-term satisfaction.
  • Maintain detailed and accurate records of customer interactions, transactions, comments, and complaints within our centralized CRM system to ensure data integrity across the organization.
  • Assist with the onboarding process for new clients, guiding them through our service offerings and ensuring they have all the resources and information needed for a successful partnership.
  • Collaborate closely with internal project managers and technical teams to escalate complex issues and provide actionable feedback on how to improve the overall customer experience.
  • Generate weekly and monthly reports on customer satisfaction metrics, response times, and common feedback trends to help the leadership team make data-driven decisions.
  • Participate in regular team meetings and virtual training sessions to stay updated on product changes, company policies, and best practices in the virtual assistance industry.

Qualifications

  • A minimum of 2 years of experience in a customer service, client relations, or administrative support role, preferably within a remote or virtual service environment.

  • A high degree of digital literacy and proficiency with standard business tools such as Microsoft Office 365, Google Workspace, Slack, and Trello.

  • Proven ability to manage time effectively and prioritize tasks in a fast-paced environment without the need for constant direct supervision.
