In this role, you will be the primary point of contact for patients, families, and our interdisciplinary clinical team. We are looking for a proactive communicator who can navigate the nuances of behavioral health scheduling while maintaining the highest standards of data integrity and HIPAA compliance in a fully remote work environment.
Key Responsibilities- Manage the end-to-end scheduling process for behavioral health clinicians, ensuring optimal routing and time management for mobile visits.
- Act as the initial point of contact for behavioral health referrals, conducting intake assessments to gather necessary patient information and clinical history.
- Coordinate seamlessly between primary care providers, specialists, and the behavioral health team to ensure a holistic approach to patient management.
- Maintain and update Electronic Health Records (EHR) with high accuracy, documenting all patient interactions, appointment changes, and follow-up requirements.
- Communicate directly with patients and their caregivers to confirm appointments, provide preparation instructions, and manage expectations regarding home visits.
- Conduct insurance verification and obtain necessary authorizations prior to scheduling behavioral health consultations.
- Monitor clinician schedules in real-time to adjust for cancellations, emergencies, or geographical shifts in service needs.
- Track and report on key performance indicators such as appointment fulfillment rates, referral-to-visit lag times, and patient satisfaction metrics.
- Participate in weekly interdisciplinary team meetings to provide updates on patient status and scheduling hurdles.
- Minimum of 2 years of experience in medical scheduling, care coordination, or healthcare administration, preferably within a behavioral health or home health setting.
- Strong understanding of medical terminology related to behavioral health, psychiatry, and chronic disease management.
- Proficiency in using Electronic Health Record (EHR) systems and advanced scheduling software; experience with platforms like Athenahealth or eClinicalWorks is a plus.
- Exceptional verbal and written communication skills, with a proven ability to handle sensitive patient conversations with empathy and professionalism.
- Demonstrated ability to work independently in a remote setting while maintaining high levels of productivity and accountability.
- Advanced organizational skills with the ability to prioritize multiple tasks in a fast-paced, high-volume healthcare environment.
- Solid understanding of HIPAA regulations and a commitment to maintaining patient confidentiality at all times.
- High school diploma or equivalent is required; an Associates or Bachelors degree in Healthcare Administration, Social Work, or a related field is preferred.
