About the Role

Universia Mxico, a globally recognized leader in academic services and talent development, is currently looking for a motivated and detail-oriented Virtual Human Resources Assistant to join our growing team. As an integral part of our HR department, you will ensure that both candidates and internal stakeholders receive high-quality support throughout the recruitment lifecycle. Key Responsibilities

In this role, you will be responsible for a wide range of administrative and operational tasks that keep our HR department running smoothly. Your daily activities will include the following:

  • Manage the end-to-end candidate pipeline, ensuring that all applicants receive timely updates and a professional experience throughout the selection process.
  • Coordinate and schedule interviews between hiring managers and prospective candidates across various departments, managing complex calendars and digital meeting rooms.
  • Maintain and meticulously update our internal Human Resources databases and Applicant Tracking Systems (ATS) to ensure data integrity and real-time reporting accuracy.
  • Oversee the collection, validation, and organization of employment documentation, ensuring compliance with local labor regulations and company policies during the onboarding phase.
  • Act as a primary point of contact for employee and candidate inquiries, providing clear and helpful information regarding recruitment stages and general HR procedures.
  • Prepare comprehensive weekly and monthly reports on recruitment metrics, database health, and administrative progress to support data-driven decision-making for leadership.
  • Assist the Talent Attraction team in sourcing candidates and implementing innovative strategies to reach top-tier talent in the Mexican market.

Qualifications

To be successful in this position, we are looking for a candidate who combines administrative excellence with a strong passion for human capital management. The ideal candidate should meet the following criteria:

  • Academic background in Human Resources, Psychology, Business Administration, or a related field; recent graduates with a strong interest in the area are encouraged to apply.
  • Exceptional organizational skills with a proven ability to prioritize multiple tasks and meet deadlines in a fast-paced corporate environment.
  • Strong digital literacy, including proficiency in Microsoft Office Suite (specifically Excel) and Google Workspace collaboration tools.
  • Excellent communication skills, both written and verbal, with a professional tone suitable for corporate interaction and candidate engagement.
  • A high degree of responsibility, ethics, and discretion when handling sensitive employee information and confidential documentation.
  • A proactive attitude and a genuine interest in long-term professional development and specialized training within the field of Human Resources.
  • Ability to work effectively in a remote or hybrid setting, maintaining high levels of productivity and self-management with minimal supervision.
