Key Responsibilities- Manage and oversee the lifecycle of corporate contracts, ensuring all documents are properly drafted, reviewed, signed, and archived according to company policy.
- Maintain and update comprehensive physical and digital files for both legal entities and employees, ensuring data integrity and easy retrieval for audits.
- Support the Human Resources department in the administration of personnel files, including the preparation of labor contracts, addendums, and termination documentation.
- Coordinate the internal and external signature processes for legal documents, including the management of digital signature platforms and notary relations.
- Monitor compliance with local labor laws and corporate governance standards, assisting in the preparation of reports for internal stakeholders and regulatory bodies.
- Assist in the management of corporate powers of attorney, ensuring they are valid, updated, and correctly assigned to the appropriate representatives.
- Provide administrative support during internal and external audits, gathering necessary evidence and documentation related to legal and HR processes.
- Draft professional correspondence, legal memos, and administrative reports to facilitate clear communication between departments.
- Support the coordination of company meetings and board sessions, including the preparation of minutes and follow-up on actionable items.
- Serve as a point of contact for internal inquiries regarding basic legal and HR administrative procedures.
- Bachelors degree in Law, Business Administration, Human Resources, or a closely related field.
- Minimum of 1 to 2 years of experience in administrative roles within a legal firm, corporate legal department, or human resources environment.
- Foundational knowledge of Mexican Labor Law and general corporate legal principles.
- Advanced proficiency in Microsoft Office Suite, particularly Excel for data tracking and Word for document formatting.
- Exceptional organizational skills with a proven ability to manage multiple priorities and meet strict deadlines.
- High level of discretion and ethical standards when handling confidential and sensitive information.
- Excellent written and verbal communication skills in Spanish; intermediate English proficiency is considered a significant advantage.
